What we collect
- Enquiries: your name, company name, email address, phone number, product of interest and anything you write in your message.
- Customers: contact and billing details, contract records, support requests and system access details needed to do the work.
- Customer system data: when we implement, support or migrate your system, we may process personal information held in it, such as employee, customer and supplier records. We do this on your instructions.
- Job applicants and suppliers: the details you send us.
- Website logs: our hosting provider's servers record technical data such as IP address, browser type and pages requested, for security and maintenance.
Why we use it
- To respond to enquiries and provide quotations and demos.
- To deliver, support and invoice our services, and to perform our contracts.
- To meet legal and tax obligations.
- To keep our systems and this website secure.
- To send direct marketing, only as described below.
We process personal information on the grounds POPIA allows: your consent, the performance of a contract, a legal obligation, or our or your legitimate interests.
Direct marketing
We send electronic marketing only to people who have opted in, or to existing customers about similar products and services. Every message gives you a free way to unsubscribe. You can also opt out by emailing info@synkx.co.za.
Who we share it with
We do not sell personal information. We share it only where needed, with:
- Sage, when we register licences or log support on your behalf;
- service providers acting for us, such as hosting, email, backup, and accounting providers;
- professional advisers and auditors; and
- regulators or authorities where the law requires it.
Service providers who process information for us must keep it confidential and secure.
Transfers outside South Africa
Some cloud services we use may store information outside South Africa. Where this happens, we take the steps section 72 of POPIA requires, such as relying on recipients bound by adequate data protection laws or agreements.
How long we keep it
We keep personal information only as long as we need it for the purpose for which it was collected, or as long as the law requires. Enquiries that do not lead to a business relationship are deleted when no longer needed.
How we protect it
We use technical and organisational measures that include access controls, encrypted connections, backups and confidentiality obligations. If we have reasonable grounds to believe your personal information has been accessed without authority, we will notify you and the Information Regulator as POPIA requires.
Your rights
You may ask whether we hold your personal information, request a copy, ask us to correct or delete it, object to processing, withdraw consent, and opt out of direct marketing. Contact our Information Officer to do this. Access requests are explained in our PAIA manual.

Please contact us first so that we can try to resolve your concern. You may also complain to the Information Regulator: Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191; enquiries@inforegulator.org.za; inforegulator.org.za.
